1. Who we are

Qiaozhi Sun operates WEEKEND DANCE as a sole proprietor. WKNDANCE is the studio name used on this website. We offer dance classes and youth dance programs in Ottawa, Ontario, Canada.

We follow applicable Canadian privacy requirements and the principles of accountability, consent, limited collection, limited use and retention, safeguards, openness and individual access.

2. Information we collect

Depending on how you interact with WKNDANCE, we may collect:

  • Contact and account information: your name, email address and Bookwhen account details.
  • Booking information: attendee names, class selections, attendance history, passes, credits, cancellations, refunds and booking communications.
  • Youth-program information: the participant’s name, parent or guardian contact details, consent records and information reasonably needed for safety, accessibility or emergencies.
  • Transaction information: purchase amount, payment status and transaction reference. We do not receive or store complete payment-card numbers.
  • Consent choices: policy acceptance, optional marketing choices and photo or filming preferences.
  • Photos and videos: class, performance or studio recordings where appropriate consent has been obtained.
  • Messages: information sent through email, website forms or social media.
  • Technical information: IP address, browser or device information, cookies and page activity collected by WordPress.com, Bookwhen and embedded services.

Please do not send medical or other sensitive information unless it is relevant to safe participation and specifically requested.

3. How we collect and use information

We collect information from you, a parent or guardian, or the person making a booking through this website, Bookwhen, Stripe checkout, email, forms, social media and in-person attendance records.

We use it to manage bookings, accounts, passes, attendance and payments; send confirmations and schedule or safety updates; administer Youth K-Pop; respond to questions and privacy requests; maintain required records; and protect participants, the website and our services from misuse or security threats.

4. Consent and your choices

By providing information for a booking or program, you consent to its collection, use and disclosure for the purposes explained at or before collection. You may withdraw consent for optional uses by emailing us. Withdrawal does not affect processing already completed and may not apply where records must be retained for legal, safety or transactional reasons.

5. Youth information

For youth programs, we collect only information reasonably needed to register the participant, communicate with a parent or guardian, manage attendance, obtain consent and support safety. Access is limited to people who need the information to administer the program or protect participants. A parent or guardian may request access to or correction of a child’s information, subject to applicable law and identity verification.

6. Class photos and videos

Class filming is optional. Participants may tell the instructor and move to the designated off-camera area. A parent or guardian must consent before a minor is intentionally photographed or recorded for sharing or promotion.

Class photos and videos may be shared with participants in a Google Drive folder for free download for two weeks. After two weeks, participant access to that folder is removed. Media selected for WKNDANCE social media or promotion may be kept longer only where appropriate consent has been obtained.

7. Payments

Bookings are managed through Bookwhen and card payments are processed by Stripe. Stripe handles payment-card information under its own privacy and security practices. Weekend Dance receives the transaction details needed to confirm and administer a purchase but does not receive or store complete payment-card numbers.

8. When we share information

We do not sell or rent personal information. We may share only the information reasonably needed:

  • with instructors or authorized helpers for attendance, communication or safety;
  • with service providers that host the website, manage bookings, process payments, store shared media or provide technical support;
  • when required or permitted by law, a court order, an emergency or a lawful investigation; or
  • to protect the rights, safety or property of participants, WEEKEND DANCE or others.

9. Service providers

These providers may process information outside Canada, where it may be subject to another country’s laws.

10. Cookies

WordPress.com, Bookwhen, Stripe and embedded services may use cookies or similar technologies required for security, account login, booking, payment, preferences and website operation. You may limit cookies through your browser, but some website, booking or account features may not work properly.

11. Retention

Booking, attendance, transaction, youth-program, consent and related communication records are generally retained for up to five years, unless a longer period is required by law or reasonably needed for a dispute, safety matter or active privacy request. Information that is no longer required is deleted, anonymized or securely destroyed, subject to service-provider systems and backups.

Participant access to class photo and video folders on Google Drive is limited to two weeks as described above. Service providers may retain their own records under their privacy policies.

12. Security

We use reasonable safeguards appropriate to the sensitivity of the information, including restricted account access, password-protected systems, reputable service providers, encrypted connections and limiting information available to instructors or helpers. No online or physical system can be guaranteed completely secure.

13. Access, correction and deletion requests

You may ask what personal information we hold about you, request access or correction, withdraw optional consent, or ask us to delete information that is no longer required. Some requests may be limited where retention or disclosure is required or permitted by law.

Email a written request to [email protected]. Qiaozhi Sun, as the sole proprietor of WEEKEND DANCE, is responsible for responding to privacy inquiries. We may verify your identity before responding.

14. Privacy concerns and complaints

Please contact us first so we can review your concern. You may also contact the Office of the Privacy Commissioner of Canada.

15. Changes to this policy

We may update this policy when our services, providers or legal obligations change. The revised version will be posted here with a new “Last updated” date.
